This article will show you how to create a professional thank-you email or note after an interview.
Based on my experience as an employer recruiter, I will share the best ways to thank your employer. You can also use my sample thank-you emails as inspiration!
The truth is that while it is great to send a thank you note to the interviewer, if you don’t use the right message, it can cause more harm than good. It's important to be clear about what you are saying.

Is it necessary to send a thank you email after an interview?
After each interview, it is a good idea to send a thank-you email. This shows that you are grateful for their time and that you are still interested in the job. After attending an interview, the employer isn't sure that you still want this job (just like you're not sure if the interview went well and they want to hire you).
It's important that you thank them for their interest and reiterate your enthusiasm about the job. Also, let them know that you are eager to hear more about the next steps. They won't find out if you don't tell them!
How to write a thank you email/note for an interview
Begin by greeting the recipient with a formal or professional greeting (e.g., "Hello Susan," or "Dear Susan,")
Tell the interviewer to thank you for their time during the job interview.
Mention something you discussed with them in the interview that was interesting to you, so that they know that this thank you note for interview is written just for them.
Reaffirm your interest and let the reader know that you are looking forward to learning more about the next steps of the hiring process
Inform the interviewer that you are available to answer any questions or provide additional information.
Optional: Add something to show that you are confident in your ability to perform this role well and why
For a more personal touch, thank each person individually if you have interviewed multiple people in one day.
Step 6 is not necessary, but it is an added touch.

One last tip before we move on: I suggest asking each person for their business cards after an interview so that they have their email address as well as their name.
You can ask them for their contact information if you were interviewed by phone or video. Just explain that you are asking for their contact details to follow up on the interview and send a thank-you message.

This email is short and casual. It's ideal for digital marketing, tech, and other modern industries.
This short message makes a great thank-you email to a recruiter, HR person or after a phone interview. You don't have to go into detail at this stage. All you need is to express gratitude and reiterate your interest.
Modern companies don't need a formal, ten-paragraph thank you note. It takes about ten minutes to read. It might even make them less inclined to hire you because they will doubt your ability to fit in with their culture. This is why I suggest keeping your message brief and real, as shown in the example above.
This type of thank-you email, even if you are only interviewing for a second or third round, can still be very effective. This is an example of what I would send if I was job hunting:

The example given above is longer and more formal. This could be sent as an email or a handwritten note of appreciation after your interview.
You can also include details about WHY and HOW you believe you would succeed in this role at the end. This will make your thank-you email more persuasive to hiring managers.
Remind them about something you mentioned in the interview. This will show them that you are capable of succeeding in their job.

This is the formalest of all the thank-you notes we have seen.
Even the greetings are formal... instead of "Hello," "Dear" is used instead.
You can change the tone/greeting of any of these thank you notes samples.
You can also take individual pieces and combine them or make your own.
If you don't like the one you have, but think it's too formal, you can adjust. In modern industries, however, it is important to not sound formal or stiff. It should sound authentic.
What would you say to them if you were there in person? It's not difficult to write a thank-you note. Writing is a lot like talking. This can lead to a lack of natural communication and a lack of interest in your job search.
Thank You Email Length: How long should your Message be?
Some of the samples are more formal than others. They are all quite short, however. A thank you note after an interview is the best, according to my experience as a recruiter. I recommend between 85 and 150 words.

If you are very advanced in the hiring process and have spent many hours interviewing people for the company, your message may be up to 200 words. However, I would still prefer to keep it short and concise than send a page.
However, you should use your best judgment. Your industry and potential employer are well-informed so consider what message they will appreciate. This advice is only what works for the most people on average.
When is the best time to send a thank you email after an interview?
Your post-interview thank-you email should be sent between 12:00 and 3:00 PM the day following your interview. Send your thank you email on the same day as your interview if it was Friday. This is so that you don't send your email on the weekend.
To ensure that the interviewer remembers your conversation, make sure you send the email within 24 hours.
You can still send your thank-you note by mail if you choose to send it as a letter. However, you must send it within one to two business days after your interview. It won't arrive as quickly because they need to deliver the thank-you letter. However, it is best to send it within one to two business days of the interview to ensure that the employer receives it promptly.
Important Step: Customize your Interview Thank You Emails
When you send thank you emails or notes after an interview, make sure you mention the topic you spoke with the interviewer about and why it was so enjoyable.
This is the best way for you to show them immediately that your post-interview email thank you is personalized and not just copied from a template.
Customize your interview thank you emails for best results
It's important to customize! It is important to customize your thank-you email templates and examples. This will make it appear low effort, which will not impress the interviewer.
What other things could you think of? Here are some suggestions...
You could start by mentioning something you learned from the company or job. What attracted your attention about the job? Did it sound exciting? You can share your enthusiasm about the job if you find it to be great!
Or, you could reference one or two of their interview questions and answers you gave in response. You could, for example, say that the interviewer asked you a question you enjoy talking about.
"I enjoyed your question about _____ and the discussions that led to it. It was great to learn about XYZ's ___.
You could also mention something they shared with you. Perhaps the interviewer said that they were going to see their son play in a major basketball tournament that night.
One could also say:
"By and way, I hope your son’s team did well at the basketball tournament. What did you think?
Another example: Maybe you said you loved coffee and the interviewer suggested Corner House Coffee just around the corner. The best coffee in town
You could also write:
"By the way, Corner House Coffee was on my way home. It was absolutely delicious. It was the best coffee that I have ever had."

Email is the best option for most people. Three reasons are why email is so popular:
You can be sure that it arrives at the time and date you desire
It's quicker and easier than you might think.
It is more modern and easier for the company
In some cases, however, it may be a good idea to write a thank-you letter after an interview.
If you work in a traditional industry, such as wedding planning, a paper thank-you note/letter may be more appropriate. If you are interviewing for a high-ranking position, such as Head of Operations, CFO, Head of Finance, etc. You can.
For most job seekers, I recommend you send a thank-you email.
Another option: A personalized thank-you card can be written and sent digitally via email or LinkedIn. This is a great way to make your digital message stand out and add a personal touch.
Be sure to proofread everything before you send it
Email templates can only be as good as the work you put into them and proofreading them.
Examine every detail to ensure it makes sense in your particular situation. You can send a thank you letter or email if you don't have the time.

You should thank the interviewer for calling you.
You are right?
It will sound strange, and people might think you copied and pasted from a template. It's not good!
Take your time and ensure that you understand the contents of these email samples.
Here are some mistakes to avoid when sending thank you emails after an interview
You now know how to write a thank you email that is memorable after an interview. We'll now discuss some mistakes you should avoid.
This will be reviewed if you have read all of the above. However, I want you to avoid doing anything that could potentially cost you your job.
The first mistake is to wait too long before sending it. This should be sent within 24 hours of your interview.
Also, do not copy and paste the exact same email to multiple recipients. It will be compared, and it will look sloppy/lazy. This takes away from the impact of your thank-you email.
You shouldn't put multiple people into the "To" section of an email. Sending one email to one recipient is the best way.
It looks lazy/rushed otherwise.
Another mistake is thinking you don't have to send a thank you email for a job interview because the person you met wasn’t the hiring manager.
If you have a face-to-face interview, I recommend that you send one. (Or even a video interview.)
Every person's opinion counts, and the hiring manager may ask each individual what they think of you. You can't choose who you feel "deserves" a Thank You email. It's safe to send it to everyone you have met face-to-face.
Another minor error: You don't ask for business cards when you meet people during an interview day.
It is a great way to keep track and thank people later by emailing them their business cards.
Make it a habit to ask for it after every conversation.
